Demand Letters

Demand letters generated by HOA Heroes are AI-produced templates based on your uploaded documents and identified issues. They are not drafted by a licensed attorney.

Every generated demand letter includes a defamation safe harbor clause. This clause affirms that all statements are made in good faith, based on available information, and for lawful purposes — and that no claims of unlawful intent are made. This language is included as a protective measure, but it does not eliminate all legal risk from sending the letter.

You are responsible for reviewing and verifying every fact, name, date, amount, and claim in any letter before sending it. Sending a letter that contains false statements of fact could expose you to legal liability regardless of any safe harbor language.

We strongly recommend having an attorney review demand letters before sending them in high-stakes situations.

Compliance Scores & Reports

Compliance scorecards generated by HOA Heroes reflect automated analysis of the governance documents uploaded to your community profile and the issues identified in those documents. They are not official audits, certified compliance determinations, or legal opinions.

Scores are based on available information only. Missing documents, unuploaded records, or context that HOA Heroes cannot access will affect the score. Do not represent HOA Heroes compliance scores as official, certified, or legally verified to third parties.

Your Responsibilities

By using HOA Heroes, you agree that:

• You will not upload documents you do not have the right to upload or share

• You are solely responsible for any communications you send using templates generated by this platform

You are solely responsible for how you use the information and tools on this platform. HOA Heroes provides tools — how you use them is your responsibility.

Limitation of Liability

To the fullest extent permitted by applicable law, HOA Heroes and its operators, employees, and affiliates shall not be liable for any direct, indirect, incidental, special, consequential, or punitive damages arising from your use of this platform or any content generated by it, including but not limited to:

• Decisions made based on AI-generated analysis, findings, or recommendations
• Demand letters sent, legal disputes initiated, or communications made using platform-generated templates
• Errors, omissions, or inaccuracies in public records data
• Shared discoveries or community documents that contain inaccurate information
• Outcomes of any legal or quasi-legal action you take after using this platform

If you are dissatisfied with any aspect of this platform, your sole remedy is to stop using it.

Privacy

HOA Heroes collects the information you provide (name, email, uploaded documents, community information) and basic usage data. We use this information to operate the platform and improve the service.

We do not sell your data.We do not share your documents with third parties except as necessary to operate the service — specifically, documents are processed by Anthropic (the AI provider) to generate analysis. Anthropic's privacy policy governs how they handle data submitted to their API.

We do not use your uploaded documents to train AI models.

You can delete your documents at any time from within the platform. Account and document deletion requests can be sent to [email protected].
